Client contacts and project access

Maintain the client directory and invite the right contact to the right project.

Keep a client record before granting access

Clients is the company’s contact directory. A client record can hold a name, email, phone, company, notes, active status and linked projects. It is separate from an internal User and separate from a portal login. Adding a client does not give them your dashboard permissions.

Open Clients, choose the create action, enter the contact information and select the projects they represent. Save and check the project links. Use a separate contact when a different person needs their own identity and communication details. Keep email and active status current so access is not attached to an out-of-date contact.

Add portal access only when needed

The portal-access area appears when the Client Portal feature and your permissions allow it. Select an existing client and one of their assigned projects. Create access and use the offered email or copy-link action. Review the expiry and active state; the ordinary creation flow uses a 30-day access period. A refreshed link replaces the previous token, so send the latest link.

The plan’s client quota counts portal-access records, not just directory contacts. Several project-access records can therefore use capacity even when they belong to one client. Deactivating a canonical client also prevents their portal access. To change the client’s projects or stop access, review both the directory and access records.

Example: an owner has two building projects. Keep their contact details in one client record, associate both projects, and grant the intended project access separately. Before sending a link, review Client Portal visibility.
